Client portal user guide

Joining the portal, roles in your organisation, projects and milestones, approvals, files, meetings, requests and changes, invoices and payments, support, security and the end of an engagement.

Pre-release. Pre-release edition. The client portal is planned for a release after the platform's first public launch. Your signed contract, statement of work, the Service Level Agreement and the Refund, Cancellation & Subscription Policy prevail over this guide. This guide is not a contract.

1. About this guide

This guide is for clients who have accepted a proposal and signed an agreement with an organisation in the ecosystem, from the owner who signed to the colleague who only needs to upload a file.

Key pointAt any moment you can see what is happening on your work, what is waiting for you and what you owe, without searching an email thread.

Before the portal opens, your project manager books review meetings with you, progress updates are sent by the delivery team, decisions made in meetings are recorded, and the files you send are attached to your project. When the portal opens, that history is already in place.

2. The portal at a glance

RuleYou see your own work and only your own work. The delivery team decides what is shared with you by marking it as visible to the client; anything not marked stays internal. This is enforced by the platform each time information is requested.

The portal never shows another client's information or the delivery organisation's internal notes, costs, rates, salaries or margins. If you are also a learner or member, you use one account; moving between organisations is an explicit switch.

3. Joining the portal

There is no public sign-up. When your agreement is active and the project is created, the people named in your agreement receive an invitation by email.

Becoming a portal user
  1. Step 1: Agreement active
  2. Step 2: Workspace created
  3. Step 3: Invitation sent
  4. Step 4: Invitation accepted
  5. Step 5: Account confirmed
  6. Step 6: Workspace opens
An expired invitation — If the link has expired or has already been used, ask your project manager or your organisation's portal owner to send a new one. An old link cannot be reactivated, which protects your workspace if an email is forwarded.

Paying an invoice, accepting a quotation or signing a document are planned to need stronger verification; turn on two-step verification when it is available. Your first screen shows the kickoff meeting, the first milestone, the delivery team and your onboarding tasks, each with a due date.

4. Your home dashboard

On your dashboardWhat it tells you
Next meetingWhen it is, who is attending and how to join
Waiting for youApprovals and client tasks that need your action, with due dates
Project progressEach project's status and its next milestone
Open invoicesWhat is due, when, and a link to pay
Recent messagesThe latest conversations with your team
Recent activityWhat changed since you last looked

The dashboard shows only what your role allows. You can choose a regular digest instead of signing in every day; urgent items are still sent as they happen.

In practice. Look at "Waiting for you" first. If it is empty, nothing on your engagement is held up by you.

5. Roles in your organisation

Client roleCan doCannot do
Client ownerInvite and remove colleagues, assign roles, accept quotations and everything belowSee the delivery organisation's internal notes, costs or margins

Finance contactSee and pay invoices, download receipts, manage payment detailsApprove deliverables

External collaboratorSee and work on the items assigned to themSee the wider project
Key pointName a deputy approver before you need one. A deliverable waiting for an approver who is on leave delays the whole project.

A colleague who leaves should be removed straight away; removal ends access at once, and past actions stay on the record under their name. Every approval, rejection, comment, upload, payment and change of role is recorded.

6. Projects and milestones

The shape of a project
  1. Step 1: Kickoff
  2. Step 2: Phases
  3. Step 3: Milestones
  4. Step 4: Deliverables
  5. Step 5: Your approval
  6. Step 6: Completion
StatusMeaning
On trackWork is progressing as planned
At riskSomething may delay a milestone; the team is acting on it
DelayedA milestone has moved; the page shows the new date and the reason
BlockedWork cannot continue until something is resolved, often a client task or decision
CompletedThe project has been accepted and closed
Key pointIf your project shows "Blocked", look at "Your tasks" first.

If you bought a package of sessions, the portal shows your allowance. A session is counted when it is booked and returned if it is cancelled within the cancellation policy.

7. Approvals

An approval is your formal decision on a deliverable or milestone, recorded with the person, the time, the version approved and any comment.

Approving a deliverable
  1. Step 1: Deliverable submitted
  2. Step 2: You are notified
  3. Step 3: You review
  4. Step 4: Approve or request changes
  5. Step 5: Decision recorded
  6. Step 6: Milestone updated
DecisionWhen to use itWhat happens next
ApproveThe deliverable meets what was agreedThe milestone moves forward, and an invoice may follow if it is billable
Request changesClose but needs specific changesThe team revises it and submits a new version
RejectDoes not meet what was agreedThe project manager contacts you to agree the way forward
RuleApprove only what you have reviewed. An approval is a decision on behalf of your organisation, and the team relies on it.

If you want something that was not in the agreement, use the request centre rather than a change request on the deliverable.

8. Files and documents

Proposals, agreements, change requests, deliverables, shared files, meeting summaries, invoices and receipts are kept in one place. Each uploaded file is checked for harmful content before anyone can open it. A revised document is added beside the old one, never replacing it, so you can always see which version was approved.

Why a shared link stops working — Download links are deliberately short-lived. To give a colleague access to a document, invite them to the portal with the right role rather than forwarding the link.

Electronic signature inside the portal is planned. Until then, documents are signed in the way agreed with your project manager. A signature recorded on the platform is a recorded acceptance, not a qualified electronic signature.

9. Meetings and appointments

Booking a meeting is planned for the first public release. Every booking is confirmed with a calendar entry and the details for joining, and you receive reminders. You can reschedule or cancel within the notice period in your agreement.

Your first meeting is the kickoff: scope, timeline, how you will hear from the team, who decides what, and how success will be measured. Summaries, decisions and actions are recorded when the team marks them visible to you; the team's working notes stay internal.

10. Requests and changes

A request
  1. Step 1: Submitted
  2. Step 2: Checked for details
  3. Step 3: Assigned
  4. Step 4: Reviewed
  5. Step 5: Approved or declined
  6. Step 6: Completed

Say what you need, why, by when, and what "done" looks like. If the request is outside the agreed scope, it becomes a change request with a quotation showing the cost and the effect on the timeline. Only the client owner can accept a quotation.

In practice. Send one request per need.

11. Invoices and payments

Invoices are issued by the organisation named in your agreement, under its own legal name and numbering, on the schedule your agreement sets. The billing area is visible to the client owner and the finance contact.

StateMeaning
IssuedThe invoice has been sent and payment is due by the date shown
Partially paidPart of the amount has been received; the balance is shown
PaidThe full amount has been received; the receipt is available
OverdueThe due date has passed without full payment
Cancelled by credit noteThe invoice was corrected or cancelled; the credit note is attached
RuleAn issued invoice is never edited. If an invoice is wrong, a credit note is issued to correct or cancel it, and a new invoice is issued if more is owed.

Payment is made through a licensed payment provider; your card or bank details are never stored by MominSheikh.com. Refunds are decided by a person in the finance team, never automatically. Raise a query on an invoice before its due date.

12. Messages and support

Keep conversations about a deliverable, task or request on that item. Conversations on personal messaging apps are not copied into the portal; ask for anything that matters to be confirmed in the portal.

PriorityTypical situation
UrgentYou cannot work, money has moved wrongly, or you suspect a security or personal-data problem
HighAn important part of the portal is not working and there is no way round it
NormalSomething is not working as expected, but there is a way round it
LowA question, a suggestion or a minor problem

If an action fails, the message gives a reference; quote it in your support request. Complaints are acknowledged in writing and looked into by someone other than the person they are about.

13. Notifications

You choose straight away, a digest, or only in the portal for most notifications.

RuleSecurity alerts, payment confirmations and legal notices cannot be switched off.

14. Security and privacy

ActionWhy it needs stronger verification
Paying an invoiceIt moves money
Accepting a quotation or change requestIt commits your organisation to pay
Signing a documentIt has legal effect
Cancelling a subscription or requesting a refundIt changes what your organisation owes or is owed
Changing roles or removing the ownerIt changes who can act for your organisation

Your information is visible to your delivery team to the extent they need it, and to no other client. Invoices, signed agreements and approval records must be kept for set periods for tax and legal reasons. The portal is designed to meet WCAG 2.2 AA.

15. AI in the portal

AI action boundary — In the portal, the assistant may read, summarise, explain and draft. Anything that commits your organisation, moves money or has legal effect is always your own action.

16. When an engagement ends

Closing a project
  1. Step 1: Final deliverables approved
  2. Step 2: Client acceptance
  3. Step 3: Final invoice where agreed
  4. Step 4: Project closed
  5. Step 5: Feedback

Nothing is published about your project without your written permission. A closed engagement is recorded as closed, not deleted; how long a closed workspace stays open to you is [to be set in the Records Retention Schedule]. Download the final deliverables, the signed acceptance and your receipts before it closes.
